Galleries All images, photos, and multi-media files are organized into Galleries. Each gallery can have an unlimited number of Categories, Images and other Files, Members, etc. |

Use this option to view all galleries that have been added into Image Gallery Pro. While viewing a list of Galleries, you can add a new gallery using the Add New button or link.
To open and view the live Gallery, just click the URL in the "Gallery URL" column. A new browser window will open and display the Gallery. |
|
|
|
Use this option to add a new gallery. If the administrator has limited the number of galleries that you can create, a message will indicate that you have exceeded your limit and you will not be able to add any additional galleries.
General Gallery Properties
Gallery Name -- This is a short descriptive name of the gallery. This will be used as the title of the gallery on the gallery home page. It can also be displayed in many of the various gallery templates using ##GalleryName##.
Web Folder Name -- This is the name that will be used in the Search Engine Friendly (SEF) URL. For example, if the administrator has setup your account to be http://www.somedomain.com/mysite/ then if the gallery web folder name was "Family_Pictures" the full URL would be:
http://www.somedomain.com/mysite/Family_Pictures/
It is recommended that you avoid spaces and special characters in the web folder name. Use an Underscore "_" instead of a space.
Long Description -- Use this field to enter a longer description of the Gallery. This field is dynamically included in the proper templates using ##GalleryText##.
Gallery Access -- Select the type of access you will allow to this gallery. Only the "Full Anonymous Access" option is enabled if you have not yet defined 1 or more Membership Types. Types include:
- Full Anonymous Access: Gives everyone full access to the gallery and all sub pages. This includes viewing thumbnails, full size images, sending eCards, adding comments, ratings, etc.

Membership Required to view Full Size Images, send eCards: This options allows anonymous access to view the list of categories in a gallery, as well as thumbnail images. Access to all other pages is denied until the web user subscribes as a member.

Membership Required to view Thumbnails, Full Size Images, send eCards: This option allows anonymous access only to the gallery homepage that lists the available categories. Access to all other pages is denied until the web user subscribes as a member.

Membership Required For Everything: This option denies access to all pages until the user subscribes as a member.
Membership Types -- If you have set the Gallery Access to anything but "Full Anonymous Access" you must then select at least one Membership Type. Please note that only the "Full Anonymous Access" option is enabled if you have not yet defined 1 or more Membership Types.

ECard Properties
Send eCard in Email -- Choose this option to have eCards sent as an HTML email with the eCard embedded in the message. If you do not choose this option then the eCard recipient is notified that they must pickup their eCard and are sent a link to click and pickup the eCard. The look and feel of the eCard is determined by the "eCard Template".
Maximum Number of eCard Recipients -- You can allow people to send an eCard to up to 5 recipients. This option allows you to specify the maximum number of recipients you wish to allow your users/members to send to at a given time. When using this option each eCard is sent individually rather than using an email CC method.
Email Character Set -- If you use any special characters in your eCard email messages, specify the character set in this field. The default is "ISO-8859-1".
eCard Form Fields
The fields below determine what fields appear on the eCard form.
Include Subscribe to Newsletter Check Box -- Check this box to include a checkbox on the eCard form that states "Subscribe Me to your Newsletter". These email addresses can then be exported out of Image Gallery Pro for use in email marketing software such as eNewsletter Pro (http://www.enewsletterpro.com)
Include Custom Field 1 through 5 -- You can collect up to 5 optional fields from users sending eCards. Check any options and then define the field you wish to collect. For example, you might ask "How old are you?", or "Enter your gender", etc.
Include Background Music -- Check this option to allow users to include background music in their eCards.
Include Pickup Email Notification -- Check this option to allow users to be notified when their eCard is picked up. If you chose the option "Send eCard in email" then this option will never appear on the eCard form.
Delete Sent Cards After X Days -- Choose this option to purge old eCards from the system. Choose never to keep the cards infinitely. If you will be using the collected email addresses for email marketing then it is advised that you choose "Never" so that you do not delete the collected email addresses.
From Name -- Specify what name should be used as the "From" name for all eCards sent by your users.
From Email -- Specify what Email address should be used as the "From Email" for all eCards sent by your users. The "Reply To" address used will be the Senders email address so that all replies go to the sender.

This message notifies them that they have been sent an eCard and includes a link to pickup the eCard. Use <HTML><BODY> and </BODY></HTML> tags to make this message HTML. An example message is:

Picked Up Message Subject -- If you allow users to be notified when their eCard is picked up, then this is the message subject that is used in the email message.

Gallery Look and Feel
These fields determine the look and feel of the gallery mainly through the use of templates.
New Period -- Image Gallery Pro supports displaying a "NEW" symbol next to categories containing new files/images, or next to individual thumbnails which are new. For example, if set to 1 Week then the new symbol is displayed next to all images added within the last week.
New Symbol -- Enter the image to be used as the "New" symbol. The default image is simply red text stating NEW. Use the Upload/View option to upload you own image to be used as the New symbol.
Slide Show Delay -- The slide-show option allows users to view images within a specific category as a slide show. You can specify how many seconds each image is displayed before moving onto the next image.
Disable Right Click -- Use this option to prevent users from using a right-mouse click to save an image. Note that this message is not completely fool-proof as intelligent web users can use "View Source" on their browser and then find the image of interest and download it that way.
Right Click Message -- Enter the message displayed when someone attempts to right-click on a page. You might include information on who to contact if you would like to license your images.
Gallery Javascript -- Specify any Javascript to be included on all pages. The example templates make use of Javascript for opening a popup window for displaying slide shows, the rating option, and the option for adding comments.

Categories All images and files within a gallery are organized into Categories. Each category can have one or more sub-categories. |
|
|
| Click Categories on the left navigation to view a list of all existing categories. Use the Filter Categories option to list only those categories in a specific gallery or to list only those that are active or inactive. You can also search for a category using the search option. |
|
|
|
* Gallery -- Select the gallery that this category belongs to.
* Parent Category -- If this category is to be treated as a sub-category, then select a parent category.
Active -- Check this option to activate the category and make it visible to web users. When set to inactive the category is not displayed on the gallery home page.
* Months to display -- Select all months to display this category. For example, you might display "Christmas" images only during the month of December. If you have purchased the add-on for sending eCards in the future, then you might allow holiday-specific categories to be displayed year round so people can send such cards in advance.
* Category Name -- Enter the name of the category.
* Category Folder Name -- Enter the folder name to be used in the Search Engine Friendly URL (SEF) for accessing this category. You should avoid spaces and special characters. Use an Underscore "_" instead of a space.
Category Text/Description -- Enter a description for this category.
Category Optional Field 1-5 -- Use these fields to store optional data that can then be displayed on the pages when this category is called. For example, you might use a field to store ad tags for displaying ads specific to this category.

Images and Files
Image Gallery Pro supports an unlimited number of images within each gallery and category. Images can be assigned to multiple gallery/category combinations.
The types of files supported depend on those "File Types" that were defined by the administrator. By default, supported types include GIF, JPG, JPEG, TIF, BMP. |

Use this option to view, filter and search existing images. Images can be filtered by category and Status as well as by a specific search term.
Check the "Show Thumbnail Images" option to show the thumbnail image. |
|
|
|
* File Type -- When adding a new file you have two options. You can either browse, find a local file and upload the file. The file must be one of the supported file types which are listed next to the File Type option.
The second option is the advanced option. This option allows you to enter the HTML for the file you wish to display. The HTML is entered for both the full size and thumbnail view.
* Status -- Choose Active to display the image on the live web site. Choose Inactive to prevent an image from being viewed.
* File Name -- When uploading a file, the File Name is automatically populated. You can also specify the FULL URL to the image file if it resides on another web site.
* Thumbnail File Name -- When uploading a file, the thumbnail image is automatically created and the field populated. You can also specify the FULL URL to the thumbnail image file if it resides on another web site.
* Image Name -- Enter a descriptive name for the file.
Description -- Enter the full description for the Image.
* Categories -- Select all categories to display this image under.
Keywords, Author, Copyright Statement, Photo Data -- Use these fields for storing Keywords for searching, the Author, Copyright Statement, the Date the Photo was taken.
Image Custom Field 1-5 -- Use these fields to store 5 additional optional fields about the image. These fields are defined in the preferences section. |

If your template links to this otpion, then users can add comments to specific images. It is highly recommended that you require comments be approved as there is no filter built-in to detect malicious postings. This setting is found under "Preferences" and titled "Comments Require Approval".
Comments are approved by clicking View/Edit then checking the "Approved" checkbox.
Displaying comments on the live web site is accomplished on the Image Display page.

This option allows users to rate images. This option is only available if your template links to this option. The image rating scale is set in the preferences area. Once one or more ratings have been submitted, the scale cannot be changed.
The rating of an image can be displayed within the Image Display template using ##AverageRating##. You should also display the scale using ##RatingScale##. With a scale of 1-5 the result might be "4/5" when using "##AverageRating##/##RatingScale##"
The software prevents multiple ratings from the same user by filtering based on IP address and browser header. The user is limited to one rating per image per day. |

Music Files
Image Gallery Pro supports uploading music files that can be displayed with an eCard. |
|
|
Use the View Music Files link to view all music files and/or add a new file.
* Music Name -- Specify a descriptive name for the music file.
* Music File -- Browse, find, and upload the file. You are limited to those types specified by the administrator. The default types are .WAV and .MID files. You can also specify the FULL URL to a file if it resides on another web site.
* Categories -- Highlight all categories this file is to be available under. |

Members Image Gallery Pro supports both Anonymous access to galleries and supports a membership option. The membership option requires users signup and become a member in order to perform certain tasks such as viewing images or sending eCards. |
|
|
In order to use the membership option, you must define some default values.
Member Optional Field 1-5 -- You can collect up to 5 optional fields from your members by specifying them here. By default, Email, First/Last Name, Password, Address, City, State, Zip, Country, and Phone are collected.
* Email Address to receive administrative messages -- Specify the email address where any administrative email messages should be sent.
* From Name for Email Messages -- Specify the "From" name used when sending the welcome message to a new member or when sending an email to the "Email address to receive administrative messages.".
* From Email Address for Email Messages -- Specify the "From" email address used when sending the welcome message to a new member or when sending an email to the "Email address to receive administrative messages.".
Header text displayed on member signup form -- Specify any HTML to include on the member signup form.
* Message displayed when trying to access a gallery that requires membership. -- Specify the message displayed when a person attempts to access a page requiring membership. This message must contain a link to signup and a link to the login page by using the dynamic fields shown below:

Membership Types determine how long the membership will last as well as any restrictions such as the amount of eCards that can be sent during a specific period.
* Membership Type Name -- Enter a short descriptive name for this membership type.
* Membership Type Description (255 Char. Max) -- Enter a more lengthy description.
Automatically Approve Account -- Check this option to have new accounts automatically approved. If you do not check this, accounts must be manually approved before the new member can login to their account.
Membership Sort Order -- Specify the sort order as an integer. This is the order the membership types will be displayed on member signup form.
Membership Period (Days) -- Specify the period the membership covers in days. For example, set to 365 for 1 year.
eCard Send Limit -- If you will limit how many eCards the member can send, specify the number here. A value of 0 translates to unlimited sending. eCard Send Limit Time (Days) -- If setting an eCard Send Limit, then define the period to which that limit is applied. For example, 5 ecards in 1 day would be entered as an eCard Send Limit of 5 and an eCard Send Limit Time of 1.
* Membership Terms/Agreement -- Enter the legal terms of your agreement.

* Membership Welcome Message Email Subject -- Enter the subject to be used in the email that is sent to a new member. Any of the dynamic fields shown above can be included.
* Membership Welcome Message Email Body -- Enter the body of the email sent to new members at signup. Any of the dynamic fields shown above can be included. If you have set the membership to require approval, then this message should inform them that their account is pending approval. You should also supply the link for them to login.
* Message displayed in browser after signup. -- This message is displayed in the browser immediately after completing the member signup form. Be sure to include ##MemberLoginLink## so the new member can login after signup. If you are manually approving accounts be sure to state that they cannot login until their account is approved.

| Any members that have joined through the signup form will appear on the Members screen. New members can also be manually added. |

eCards
The eCard option allows users to send images/files as eCards. The eCards can be sent directly in the HTML email, or the recipient can be sent a notification to pickup their eCard using a link in the email message.
Under the eCards section you can view cards that were sent during a specific period including eCards that are scheduled for future delivery. The option to send eCards in the future requires a separate license key purchased for $99. |

| Use this option to purge/delete ecards sent prior to a specific date. It is recommended that you choose a date significantly prior than today to avoid deleting cards that may not yet have been read. |

Tools The tools allow you to export email addresses and member data to Excel or CSV files. You can also delete old eCards as well as perform a bulk import of images. |
Reports The reports screen provides an overall summary of how many eCards were sent in the past 7 days, as well as which images are most popular. |
Preferences
The preferences section defines some default values used throughout the program such as custom image fields, thumbnail width/height as well as the Image Rating Scale.
Image Custom Field 1-5 -- If you are utilizing the optional image fields, specify a description for each field.
* Maximum Thumbnail Width -- Specify the maximum width to be used when creating a thumbnail image. When using the built-in file upload tool, thumbnails are automatically created.
* Maximum Thumbnail Height -- Specify the maximum Height to be used when creating a thumbnail image. When using the built-in file upload tool, thumbnails are automatically created.
* Image Rating Scale -- Select the image rating scale to be used when users submit a rating on an image.
* Message displayed after submitting a rating (255 Characters max) -- Specify the message displayed after successfully submitting a rating on an image. Comments Require Approval -- Check this option to require manual approval of all submitted comments. This is recommended to prevent malicious comments.
* Message displayed after submitting a comment (255 Characters max) -- Specify the message displayed after successfully submitting a comment on an image.
